Why integrate Marketing Automation?

Real Magnet Marketing Automation gives marketing users an array of powerful tools to quickly and easily reach sales leads with customized campaigns.  Integration with Salesforce allows you to share this information with the CRM system where your sales team spends most of their time.  Now your sales team can see the prospect’s response to Marketing Automation campaigns and strategize the best way to engage them.

One of the most advantageous aspects of this integration is that you can set up Lead Scoring campaigns in Real Magnet, which assign a point score to campaign members based on criteria you specify.  Sales personnel can rank prospects based on their point score and effectively prioritize them for follow up.

What this package installs

Installing this package will add the following to Salesforce:

Part 0: Before you start

In order to integrate Salesforce and Real Magnet Marketing Automation, you will need:

  1. An Unlimited, Enterprise, or Professional edition of Salesforce.
    • The Group edition of Salesforce will not install the application.
  2. Full Salesforce system admin permissions for your account.
    • If you do not have these permissions, please contact someone from your organization who does.
  3. The login credentials passed to Real Magnet are for a standard Salesforce licensed user. An overview of Salesforce licenses can be found here.
  4. Basic Real Magnet integration package ver 1.3 installed in Salesforce.
    • If you do not have this installed, follow the steps of the installation.
    • As part of this installation process, you will save your Salesforce username and password in Real Magnet.
    • You will also need to provide Real Magnet Support with your Salesforce OrgID, which they will map to your Real Magnet account.

Part 1: Install the integration package

If you meet all the requirements in the ‘Before you start’ section, you are ready to begin installation.

Go to the following URL: https://login.salesforce.com/packaging/installPackage.apexp?p0=04tj0000000D59d

After loading the webpage at that URL, you should see a window similar to the one below:

  1. Select Install for All Users (If your org has specific SOPs for installation, follow those steps.)
  2. Click Install.

Part 2: Map lead fields to contact fields

The installation package adds several fields for Real Magnet data to your Salesforce Leads. This step maps the fields to the corresponding contact fields so that data is not lost when leads are converted.

  1. Go to Setup > Customize > Leads > Fields.
  2. Under Lead Custom Fields & Relationships, click Map Lead Fields.
  3. On the Lead Conversion Field Mapping page,  select Contact

  4.  Map the fields below and click Save.
  • RM Last Activity: select RM Last Activity.
  • RM Lead Date: select RM Lead Date.
  • RM Lead Score: select RM Lead Score.

Part 3: Make Real Magnet information visible in Salesforce

Follow these steps so that your Salesforce users can see the latest data provided by Real Magnet for your leads and contact, as well as to use the Send to List View functionality.

IMPORTANT:  This part is a required for Professional Edition.  Professional Edition will only synchronize data if the fields are added to the page layout.

Users with Enterprise or Unlimited Edition also have additional options.

  • As part of the installation, Real Magnet Automation adds a Lead Layout and a Contact Layout, with the fields already added.  You can make these layouts the default views for all profiles.
  • You can follow the process below to add the fields to your existing layouts, including any custom layouts you may have.

1.  Go to Setup > Customize > Leads > Page Layouts

2.  Click Edit next to Lead Layout.

3.  Drag RM Lead Score, RM Lead Date, and RM Last Activity to the page layout where you would like them to appear.

4.  Select Canvas Apps and drag Real Magnet to the page layout where you would like the ‘Real Magnet History’ section to appear.

5.  In the Real Magnet section you just added, click on the Properties icon (a wrench).

6.  Change height to 500px, select Show Scrollbars, and click OK.

7.  Click Save.

8.  Go to Setup > Customize > Contacts > Page Layouts.

9.  Click Edit next to Contact Layout.

10.  Repeat steps 3 through 8.

11.  Go to Setup > Customize > Campaigns > Page Layouts.

12.  Click Edit next to Campaign Layout.

13.  Click Buttons to display a list of custom buttons and drag Report in Real Magnet to the custom buttons section.

14.  Click Save.

Send to List View

An additional component of the Salesforce Marketing Automation package is the ability to send to a list out of Salesforce.  This is detailed in the User Guide:

  1. Go to Setup > Customize > Leads > Search Layouts > Leads List View > Edit.
  2. Now move the Send RM Email button from Available Buttons section to the Selected Buttons section.
  3. Click Save.

You’ll want to replicate the same steps for the Contacts List View as well.

  1. Go to Setup > Customize >Contacts > Search Layouts > Contacts List View > Edit.
  2. Now move the Send RM Email button from Available Buttons section to the Selected Buttons section.
  3. Click Save.

Part 4: Allow users to authorize data synchronization

Each user will need to authorize the Real Magnet app for it to connect to Marketing Automation.

1.  Go to Setup > Administration Setup > Manage Apps > Manage Connected Apps.

2.  Click Edit next to Real Magnet.

3.  Under OAuth policies, change Permitted Users to All users may self-authorize and click Save.

Part 5: Add Real Magnet MA tab

Provide a tab that highlights data pulled from Marketing Automation.

1.  At the top of your Salesforce dashboard, click the + sign next to the other tabs.

2.  Click Customize My Tabs.

3.  Select Real Magnet MA from ‘Available Tabs’, click Add, and click Save.

Part 6: Test the Salesforce setup

Make sure that all the previous steps have worked correctly.

  1. View any lead in Salesforce.
    • Verify that the Real Magnet Ignite section is visible and has data.
    • Verify that the RM Lead fields are visible and have data.
  2. View any contact in Salesforce.
    • Verify that the Real Magnet Ignite section is visible and has data.
    • Verify that the RM Lead fields are visible and have data.
  3. View any campaign in Salesforce.
    • Verify that the Report in Real Magnet button is visible.

Part 7: (Professional Edition Only) User self-authorization

After installation, Professional Edition users will have to authorize the Real Magnet app to show updated data.

The first time they login after installation, they must:

  1. Enable pop-ups to show in their browser for Salesforce.com.
  2. Go to the detail page for any lead or contact.
  3. A pop-up will appear.  Click Yes.

Note:  Professional Edition users will need to repeat this process if they change their Salesforce password.

Optional Modifications

After installation, you may want users to view Real Magnet campaign information that is not necessarily attached to a Salesforce campaign.  This modification is possible by adding buttons to your views.

Contact or Lead Layout Custom Button

  1. Select Setup.
  2. Select Customize.
  3. Select Leads or Contacts.
  4. Select Buttons, Links and Actions.
  5. Click New Button or Link. 
  6. For your Label you can enter: Marketing Automation in Real Magnet.
  7. For your Description you can enter: Marketing Automation Campaigns created in Real Magnet.
  8. For Display Type select Detail Page Link.
  9. For behavior, this is up to you and configurable later, I selected Display in New Window.
  10. For Content Source: Select URL.
  11. In the white space below enter the URL: https://embedded.magnetmail.net/embedded/campaignListEmbedded.cfm.
  12. Select Save.
  13. You can now modify the layout for your Lead or Contact page to add this custom link.

Campaign Search Layout

  1. Select Setup.
  2. Select Customize.
  3. Select Campaigns .
  4. Select Buttons, Links and Actions. 
  5. Click New Button or Link.
  6. For your Label you can enter: Marketing Automation in Real Magnet. 
  7. For your Description you can enter: Marketing Automation Campaigns created in Real Magnet.
  8. For Display Type select List Button. 
  9. For behavior, this is up to you and configurable later, I selected Display in New Window.
  10. For Content Source: Select URL. 
  11. In the white space below enter the URL: https://embedded.magnetmail.net/embedded/campaignListEmbedded.cfm
  12. Select Save. 
  13. Select Search Layouts. 
  14. You can now select edit for Search Layouts and Campaigns List View and add the newly created button.
